Event Location & Logistics

Where is TBFS 2026?

Grand Canyon Caverns & Inn
Historic Route 66, Mile Marker 115
Peach Springs, Arizona 86434

Use GPS or Google Maps to navigate to "Grand Canyon Caverns & Inn" or the address above. The venue is on Route 66 between Seligman and Kingman.

What's the weather like?

Anticipate 80–90°F during the day and 60–70°F at night. It's a high desert location, so prepare for temperature swings. Bring layers and sun protection.

Camping & Lodging

Can I camp at the venue as a vendor?

Yes! Dry camping for vendors is free (no charge for tent camping). RV/trailer camping is $30 for the entire weekend. The venue has plenty of space, porta-johns, and hand washing stations.

When can I arrive to set up?

Load In: Thursday, June 11
Ready by: Friday, June 12 at 9:00 AM
Load Out: Sunday by noon

Your booth must be open, manned, and ready for business by 9:00 AM on Friday. Failure to do so may result in ejection from future events.

Booth Setup & Operations

When do I need to tear down?

Tear down cannot occur earlier than Sunday morning (June 14). Coordinate your specific teardown time with the Vendor Coordinator to ensure cleanup crews can finish on schedule.

What are vendor booth hours?

Friday, June 12 & Saturday, June 13:
• Open & ready by 9:00 AM
• Close no earlier than 7:00 PM

Thursday, June 11 (Optional):
• Vendors welcome to open if they choose

Sunday, June 14 (Optional):
• Vendors welcome to open if they choose
• Must load out by noon

Important: Your booth must be manned during all operating hours. Unmanned booths result in a $1,000 fine.

Can I request a specific booth location?

ABATE and the TBFS Committee will attempt to accommodate special needs or requests. Submit your requests to the Vendor Coordinator no later than one week before the event. However, all final booth locations are at the sole discretion of the Vendor Coordinator or Event Coordinator.

Is electricity available at my booth?

No. If you need electricity, you are REQUIRED to bring your own generator. Plan accordingly and ensure your generator meets venue noise/safety standards.

Security & Vendor Conduct

Is my booth secured overnight?

Overnight roving security is provided 8:00 PM – 6:00 AM. However, ABATE assumes no responsibility for vendor property. We recommend you secure your booth each evening with locks, tarps, or other protective measures.

What's the vendor conduct policy?

To keep TBFS successful, we ask you maintain a biker-friendly atmosphere. ABATE and the TBFS Committee will not tolerate:

  • Undercutting other vendors
  • Verbal assaults or inappropriate behavior
  • Disrespect to TBFS participants, volunteers, or committee members

Violations may result in booth removal and vendor ejection from future events.

Products & Exclusivity

Is product exclusivity guaranteed?

No. ABATE and the TBFS Committee cannot guarantee exclusive vending rights. However, if requested in your application, we can disclose the types of goods/services sold by other vendors so you can plan accordingly.

Payment & Technology

What payment methods work at TBFS?

Cash is king. WiFi can be spotty at the venue, so do not rely on Square, PayPal, or other wireless-based payment services. We recommend accepting cash whenever possible.

If attendees need cash, there are ATM locations at TBFS (typically near ABATE Registration and the Merchandise booth).

Can I rely on wireless payment processing?

No. While the venue has StarLink, event WiFi is not guaranteed for vendor operations. Plan for cash-only sales to avoid payment processing failures. Have backup cash handling systems in place.

Cleanup & Vendor Responsibilities

Who's responsible for cleaning up?

You are. Vendors are responsible for removing all trash, waste, and equipment from their booth area. Leave your space in "as-was" condition. Failure to clean up may result in fines.

Are there other vendor responsibilities I should know about?

Yes. Your contract outlines all responsibilities, but key points include:

  • Sales tax: You're responsible for collecting and remitting all applicable state/city sales tax.
  • Permits: Obtain any required business licenses or permits.
  • Fire/Safety: Comply with all fire codes and safety regulations. No nailing, stapling, or affixing to venue structures.
  • Booth status: Booth must be open and ready for business at event opening each day.
